FAMIS Credentials
To access the FAMIS portal, you are reminded that all participating schools will need two FAMIS User IDs; one for the school designee or “initiator” assigned to create the order in FAMIS and a second FAMIS User ID required for the principal/building leader to “approve” the order in FAMIS.
If you are a new school or new to participating in FAMIS ordering, you will need to be assigned two FAMIS IDs and passwords. To obtain your FAMIS credentials or FAMIS IDs as a new school or if you are new to participating in FAMIS ordering, you are required to complete the System Access Request Form: FAMIS and a Mayoral Directive form, which we must have on file. Please refer to the Instructions for Completing the System Access Request Form for FAMIS.
If you are a new principal or building leader at your school, you will need to have the level 200 approver FAMIS ID changed. For us to update your FAMIS ID with your name and email address, please complete the System Access Request Form: FAMIS per the Instructions for Completing the System Access Request Form for FAMIS. You do not need to complete the Mayoral Directive form.
For information on “approving” an order and creating a signature, please refer to How to Approve or Reject a PO in FAMIS(Open external link). To access the FAMIS portal or for additional information pertaining to the FAMIS portal, please visit FAMIS-Related Resources.
If you have participated before, please continue to use your same credentials as previously assigned. If you require password resets or have questions regarding your school’s FAMIS credentials, please contact the Finance Center at clientservices@schools.nyc.gov for assistance. Please provide your DOE (alpha) location code, BEDS number and FAMIS ID.
Reminders
- Each year, four unique “activity codes” are created in the FAMIS system for each school. These codes are specific to particular commodity groups/loan programs and must be accurately selected when placing your new fiscal year orders. These codes help ensure that your purchases are properly accounted for and can be easily located in your spending plan by selecting the drop down menu next to “Group By:” Select “Activity”; click the “Inquire” button.
- The New York State education law allows New York State Textbook Loan (NYSTL), New York State Software Loan (NYSSL) and New York State Computer Hardware (NYSCH) funds to be used interchangeably. Schools wishing to participate may do so by signing into the FAMIS Portal and following the NPS-NYSTL Flex Funds (Open external link) guidelines.
- When submitting your purchase orders, please check to ensure that your correct school name and address are reflected as reported in your BEDS data form. All instructional materials and equipment purchased for loan are to be delivered only to your school at the address of record and must be kept on site in a secure manner.
- All school name and address discrepancies and/or changes must be reported immediately to our office – the Office of Non Public Schools (ONPS) – to ensure that our records are accurate and in accord with your Basic Education Data System (BEDS) Code Information. Change of name and/or address notice must also be reported to the State Education Department (SED). Please refer to the SED site at Basic Education Data System (BEDS) Code Information | New York State Education Department (nysed.gov)
