NYCPS Username, Password, and Email
After your background investigation is complete, you will receive two emails at the address you used during your application:
- Email 1: Your NYCPS User ID for accessing NYCPS systems (including NYCPS email).
- Email 2: Your NYCPS password for system access.
Action Steps
- Follow the instructions to activate your NYCPS email account.
All official NYCPS correspondence will be sent to your NYCPS email account.
Key NYCPS Systems
Once you have your NYCPS User ID and password, log in to the HR Connect Web Portal for HR forms, benefits, salary, leaves, payroll, tax data changes, and more. The HRC Web Portal is also available as an iOS or Google Play app.
Find your employee ID number in the HR Connect Portal under Account Settings/Contact Information, which you can use to access:
- Payroll Portal: Salary details and paycheck information.
- NYCAPS Employee Self-Service (ESS):
- Update health benefits, personal info (name, address, phone), and tax details.
Access duplicate W-2 and 1095C forms (from work or home).
Within Your First Two Weeks
- Obtain and complete the Comprehensive Personnel Document from HR (if applicable).
- Complete Designation of Beneficiary Form in NYCAPS ESS:
- Go to Pay and Tax Information → Designation of Beneficiary.
- Provide HR with any requested documents (e.g., proof of education, licenses, signed resume).
- Get your employee ID card.
- Confirm timekeeping method with your supervisor:
- If using CyberShift, watch the CyberShift webinar.
- Keep a paper timesheet until enrolled. Inquire about the timeline for enrollment.
- Ask your supervisor for key contacts.
- Meet with your supervisor to review job expectations.
- Verify access to all required systems.
- Check that all assigned equipment works properly.
- Update your tax status, if needed.
Within Your First 30 Days
Both union and non-union employees should:
- Enroll in the required job training.
- Participate in division orientation (if offered).
- Sign up for health benefits in NYCAPS ESS:
- Must enroll within 31 days of your start date for retroactive coverage.
- Vision and dental are not included in health benefits. Union employees should check with their union about coverage. Managerial and non-union employees need to enroll in the Management Benefits Fund (MBF).
- Use Payroll Portal to:
- Enroll in Direct Deposit (after first paycheck).
- Enroll in Commuter Benefits (after first paycheck).
- Follow up on CyberShift training if applicable.
- Contact your union for the welfare fund enrollment kit (after first paycheck).
- Learn about retirement and pension options and enroll if appropriate.
- Review annual leave and sick leave policies.
- Review Rules and Regulations for Non-Pedagogical Administrative Employees.
- Review the Conflicts of Interest information.
- Explore NYCPS employee incentives and discounts.
In addition to what has been mentioned above, only managerial or non-union employees should:
- Complete the DOI background check package within 45 days.
- Submit the Management Benefits Fund (MBF) enrollment form.
- Review Chancellor's Regulation C-607.
